ACCOMODATION

Accommodation – Terms & Conditions

1. Eligibility & Booking:
Accommodation is provided only to registered delegates and is subject to availability and prior booking.

2. Payment & Refund Policy:
All accommodation payments are non-refundable and non-transferable, except in cases explicitly mentioned below.

3. Room Booking Policy:
Accommodation is available in 4-bedded and 8-bedded rooms and must be booked on a full-room basis. For any room, one delegate must complete the booking and make payment for the entire room, providing the names of all occupants at the time of booking. Groups with fewer occupants than the room capacity must still pay for the full room. Combination of incomplete groups will be done only if the concerned groups consent. If a group is completed by the organizers, the excess amount paid will be refunded at the end of the conference. If such a combination is not possible, no refund shall be issued.

4. Extra Bed:
Any request for an extra bed must be directly coordinated with the Accommodation Head - Rehaan Aga (9545513975). This facility is not available through the website.

5. Check-in / Check-out:
Delegates must strictly follow the prescribed check-in and check-out timings. Early check-in or late check-out is not guaranteed.

6. Government ID Proof:
A valid government-issued photo ID is mandatory at the time of check-in. Accommodation may be denied in the absence of valid identification.

7. Room Allocation:
Room allocation is at the sole discretion of the organizing committee. Requests for specific rooms or roommates are not binding.

8. Discipline & Conduct:
Delegates must maintain discipline and decorum. Any misconduct may result in immediate cancellation of accommodation without refund.

9. Damage & Liability:
Delegates shall be personally responsible for any loss or damage to accommodation property during their stay.

10. Transportation:
The organizers do not provide transportation between the accommodation site, the college, or any other location.

11. Prohibited Activities:
Alcohol, smoking, illegal substances, and unlawful activities are strictly prohibited within the accommodation premises.

12. Visitor Policy:
Outside visitors are not permitted in the accommodation premises without prior approval.

13. Organizer’s Rights:
The organizing committee reserves the right to modify or cancel accommodation arrangements due to unforeseen circumstances or administrative requirements.
